Executive Assistant Job Opening

We are looking for an Executive Assistant to join our team of professionals dedicated to growth and excellence. This person will manage projects, company and staff reports, meetings, and human resources. A solid understanding of project management, meeting management, and human resource management is required.

The Executive Assistant is a full-time salaried position located in Pontiac, Michigan, and includes health, vision and dental insurance, paid time off, holidays, flextime, work from home days, and Simple IRA retirement plan with employer matching contributions.

Responsibilities

  • Help research, define, and write assignments for team members
  • Review tasks and deliverables to ensure they meet requirements
  • Manage staff reports - make sure everyone updated their reports, highlight anything important such as late projects/tasks, and gather feedback on anything important so that it can be addressed in the meeting
  • Manage company reports and KPIs using web analytics, survey tools, account tools
  • Create reports and recommendations on research projects to assist the COO
  • Edit important correspondence for the COO
  • Write job documentation for new positions
  • Participate in recruiting, interviewing, and onboarding new hires
  • Vendor management and merchandising
  • Manage meetings, including room pre- and post-setup, agendas, meeting notes, meeting summaries, follow-ups, etc.
  • Help the COO manage his correspondence and meetings, as well help with office parties, pay bills, update budgets/revenue/projections
  • Conduct weekly health check of email and website to ensure proper function
  • Assist in the management of our vendors
  • Help other teams with activities such as software testing, copywriting, project management, and updating the website

Skills and Qualifications

  • 3+ years of past experience as an executive assistant or similar role
  • Excellent verbal and written communication skills
  • Excellent at Microsoft Outlook, Word, and Excel
  • Knowledge of Adobe products: Acrobat, Photoshop, Illustrator
  • Ability to conduct thorough, credible research and organize findings
  • Strong collaborative skills with both in-house and remote teams

  • Graphic design or print industry knowledge
  • Ecommerce or merchandising experience
  • Basic marketing knowledge
